What it will not let your team do

Paper checklists depend on memory on a busy day. In OTMS each safety step is a lock on the next one.

  • Start the incision before the WHO Time-Out is complete

    Time-Out is a required step. The "Start surgery" button stays locked until every item is ticked.

  • Close a case when the swab count does not match

    Initial, closing and final counts are compared item by item. A mismatch blocks completion.

  • Wheel the next patient into an OT that is still being cleaned

    The cleaning interval runs after every case. Patient-in is locked until cleaning is signed off.

  • Use an instrument set from a failed steriliser load

    Every set carries its load and indicator result. If a biological indicator fails later, the load is recalled and affected cases are flagged.

  • Discharge a patient from recovery with an Aldrete score below 9

    Recovery discharge needs a score of 9 or more, unless the patient is going to ICU.

  • Book one surgeon into two theatres at the same time

    Every booking is checked against the OT, surgeon, anaesthetist, patient, team and equipment before it is saved.

How a surgery moves through OTMS

Twelve steps, each recorded with who did it and when. The live board, the surgeon's phone and the bill update as the case moves.

  1. Surgery request

    Surgeon or OPD raises the request with procedure, side, urgency and team.

  2. Approval

    OT in-charge approves or rejects with a reason.

  3. Slot booking

    Slot length is calculated from the surgeon's own past timings plus prep and cleaning interval.

  4. Pre-anaesthesia check

    Anaesthetist records ASA grade, airway, investigations and fitness.

  5. Consent and pre-op checklist

    Signature-pad consent in the patient's language, then the ward checklist.

  6. Pre-op holding

    Patient arrives; the live board updates for the team and relatives.

  7. WHO Sign-In and patient in OT

    Sign-In, OT free and OT cleaned are checked before entry.

  8. Time-Out and incision

    Time-Out, plus a sterile CSSD set where the procedure needs one.

  9. Counts, Sign-Out and closure

    Counts must match and Sign-Out be complete to finish surgery.

  10. Recovery

    Aldrete and pain scores, orders, then shift to ward, ICU or home.

  11. Operation note and bill

    Voice-dictated note signed by the surgeon; OT bill created from actual times and consumption.

  12. Case closed

    Note and bill posted to Caresoft HIS, or billed directly in standalone mode.

Questions hospitals ask us

What is OT management software?

OT management software runs the operation theatre from surgery request to case closure: scheduling, pre-op checks, the WHO Surgical Safety Checklist, intra-operative records, operation notes, recovery and billing. Caresoft OTMS does all of this and enforces each safety step before the next one can start.

Does Caresoft OTMS work without Caresoft HIS?

Yes. It runs standalone with its own patient registration, billing and receipts, or linked to Caresoft HIS so patients, admissions, charges and operation notes flow both ways. Each hospital chooses its mode.

How does OT scheduling handle cleaning time between cases?

Every booking adds a turnaround interval after the case (30 minutes by default, 60 minutes terminal cleaning after a septic case). The next patient cannot enter until cleaning is signed off.

Is the WHO Surgical Safety Checklist built in?

Yes. Sign-In, Time-Out and Sign-Out are part of the case workflow. Incision is blocked until Time-Out is complete and surgery cannot be completed until counts match and Sign-Out is done.

Can it connect to OT monitors for the anaesthesia record?

Yes. Monitors or central stations send HL7 v2 vitals over HTTP or MLLP. Heart rate, SpO₂, blood pressure, EtCO₂, respiratory rate and temperature are charted automatically and flagged when out of range.

Does it help with NABH documentation?

It records the OT documentation NABH assessors look for: consent, PAC, WHO checklist, counts, anaesthesia record, operation note, implant traceability, CSSD load records and a full audit trail of who did what and when.

How long does it take to go live?

A standalone OT can start within days: masters for OTs, procedures and staff are set up, then the team is trained on a live list. Integrated go-live depends on the HIS link, which uses Caresoft's existing HIS API.

Is patient data secure?

Each hospital's data is isolated, every action is audit-logged, sessions time out on shared OT terminals, and the live board masks patient names. Caresoft is certified for ISO 27001.
